What We're Looking For

This is not an entry-level opportunity and is not intended to be taken on alongside an already full-time role.

This position is ideal for experienced professionals seeking to supplement their household income and who may not currently be pursuing traditional full-time employment due to relocation, evolving family dynamics, or other life circumstances.

As an Executive Assistant at Freedom Executive Services, you will partner with senior executives who rely on proactive thinking, exceptional communication, and consistent follow-through. You’ll balance competing priorities, anticipate needs before they’re articulated, and approach your work with the ownership and accountability of an in-house executive partner.

This is an independent contractor role crafted for seasoned professionals who want flexibility, without compromising on excellence.

What You’ll Be Responsible For

General Admin

  • Streamline daily operations by creating efficient systems, documentation, and standardized workflows.

  • Prepare reports, presentations, and internal communications to support executive decision-making

Scheduling & Calendar Management

  • Anticipate conflicts and proactively resolve scheduling issues across multiple time zones.

  • Optimize executive calendars to align priorities, deadlines, and strategic initiatives.

Travel & Event Planning

  • Coordinate complex domestic and international travel, including itineraries and accommodations.

  • Plan and execute corporate events, offsites, and investor meetings with seamless logistics management.

Marketing & Social Media Management

  • Develop and schedule content across platforms to increase engagement and brand visibility.

  • Track analytics and performance metrics to refine strategy and optimize audience growth.

Startup & VC Support

  • Support fundraising efforts by organizing pitch materials, investor outreach, and due diligence documentation.

  • Maintain investor relations tracking and assist with board meeting preparation and reporting.

Bookkeeping

  • Manage accounts payable/receivable, expense tracking, and monthly reconciliations.

  • Coordinate with accountants to ensure accurate financial reporting and tax documentation readiness.

Inbox Management & CRM

  • Maintain organized, zero-inbox systems by prioritizing, flagging, and drafting responses.

  • Update and manage CRM databases to ensure accurate contact records and pipeline visibility.

Family & Personal Support

  • Coordinate household operations and personal appointments.

  • Provide trusted, high-discretion support for confidential medical and other personal matters.

Project Management

  • Oversee cross-functional initiatives from planning to execution, ensuring milestones and deadlines are met.

  • Create project timelines, track deliverables, and communicate progress to stakeholders.

Hiring & Recruitment

  • Source, screen, and coordinate interviews to support efficient talent acquisition.

  • Manage onboarding logistics and documentation to ensure a smooth new hire experience.

Confidential & Discretionary Support

  • Handle sensitive business and personal information with the highest level of confidentiality.

Required Qualifications

  • Administrative experience supporting senior leaders is required; experience supporting executive-level roles is strongly preferred.

  • Must be based in a U.S. time zone (EST, CST, MST, or PST)

  • Applicants must reside in the United States, excluding New York

  • Must be available during normal business hours Monday–Friday, 9 AM–4 PM (in your time zone) for regular client communication to uphold our 1-hour response time.

    • This role cannot be combined with another job that limits availability during these hours

  • Reliable home office setup, including:

    • Mac or PC computer with webcam

    • High-speed internet

    • Smartphone with email capabilities

    • A designated, quiet workspace suitable for professional work

  • Experience working remotely is strongly preferred

Essential Skills & Traits

  • Strong written and verbal communication skills with the ability to clearly communicate 

  • Proficiency in Google Workspace and Microsoft Office, including Word, Excel, PowerPoint, and Outlook

  • Experience managing schedules, communication, and priorities across time zones

  • Exceptional organization and attention to detail

  • High emotional intelligence and situational awareness

  • Comfortable working independently without constant direction

  • Tech-savvy and quick to learn new systems and tools

  • A proactive mindset that anticipates needs rather than reacts

Compensation & Benefits

Compensation

  • Independent contractor (1099) role

  • Assistants are paid a flat rate of $30/client hour (This hourly rate is non-negotiable, and not subject to increase over time. Client bonuses are not guaranteed, but are appreciated and treated as tips for your outstanding performance.)

  • Assistants choose how many, or how little, hours they take on

  • Earnings vary based on client plans, hours worked, and availability
